PandaDoc vs SignWell Pricing for a Small Business
November 5, 2026
Need to get a document signed?
Upload a PDF, add your signers, and send it in minutes with SignSend.
SignWell is cheaper than PandaDoc when you mainly send contracts for signature, and PandaDoc is worth its higher price when proposals and quotes are the real job. SignWell charges a low fee for each person who sends. PandaDoc charges more per person but includes a proposal editor, quotes and a content library. For three senders on yearly billing that is about $360 a year at SignWell against $684 or more at PandaDoc.
The prices below are the figures we track on our PandaDoc pricing breakdown (last read October 12, 2026) and our SignWell pricing breakdown (read October 30, 2026). All amounts are US dollars. Vendors change plans often, so confirm on each pricing page before you buy.
How much does PandaDoc cost compared to SignWell?
| Plan | Billed yearly | Who can send | Document limit |
|---|---|---|---|
| PandaDoc Free | $0 | Limited free eSign plan | 5 documents a month |
| PandaDoc Starter | $19 per user per month | Per paid seat | Unlimited |
| PandaDoc Business | $49 per user per month | Per paid seat | Unlimited, with templates, reminders and branding |
| SignWell Free | $0 | 1 sender | 3 documents a month |
| SignWell Light | $10 a month ($120 a year) | 1 sender, $10 per extra sender | Unlimited |
| SignWell Business | $30 a month ($360 a year) | 3 senders included, $12 per extra | Unlimited |
On monthly billing both vendors charge more. SignWell Light is $12 and Business is $36. PandaDoc advertises large savings for paying a year up front, so its month-to-month rates run noticeably higher.
What does a team of three actually pay?
Take three people who all send documents, on yearly billing.
| Option | Monthly equivalent | Per year |
|---|---|---|
| PandaDoc Starter, 3 seats | $57 | $684 |
| PandaDoc Business, 3 seats | $147 | $1,764 |
| SignWell Light, 3 senders | $30 | $360 |
| SignWell Business, 3 senders included | $30 | $360 |
| SignSend Pro, up to 3 people | $24 (billed $288 yearly) | $288 |
SignWell Light and Business land on the same price at three senders, so Business is the better pick there because it adds features at no extra cost. Past three senders SignWell adds $10 or $12 per head, which keeps it well under PandaDoc until the team gets large.
Are you buying a signing tool or a proposal platform?
This decides the whole comparison. PandaDoc was built for sales documents: interactive proposals, configurable quotes with line items, a content library and deal tracking. Signing is one feature inside that. If your reps build a proposal for every prospect and want to see when the client opened page four, PandaDoc earns its price, and a signing-only tool will feel like a step back.
If you send the same service agreement, NDA or intake form again and again, you are paying platform prices for a signing task. SignWell covers that at a fraction of the cost. For the proposal side on its own, an AI-written first draft from proposal software that turns a client brief into a finished proposal can feed any signing tool, so you do not need a proposal suite just to get the paperwork out.
Which is better for a small business, PandaDoc or SignWell?
Choose PandaDoc when the proposal is the product you hand a prospect, when you need quotes with products and taxes, or when your CRM integration matters. Choose SignWell when documents are mostly contracts and forms, when one to three people send, and when you want unlimited sending without a per-document meter.
Where SignWell is weaker: it charges per sender, so a growing office pays more each time it adds a person, and its free tier allows only 3 documents a month. Where PandaDoc is weaker: every person who creates a document needs a paid seat, and Business at $49 is a lot to pay for signatures alone.
Is there a flat-rate option for a small office?
If three or more people send documents and you only need signing, a flat plan removes the per-seat arithmetic. SignSend Pro is $49 a month or $288 a year billed yearly for up to 3 people, with unlimited documents and an audit trail on every one. Business is $99 a month or $588 a year billed yearly for up to 10 people and adds bulk send. One document is free to try.
SignSend is not a proposal platform. It does not build quotes or track deals, and it does not connect to a CRM the way PandaDoc does. It sends your PDF, collects the signature on any phone, and keeps the signed copy with its audit trail. See the PandaDoc alternative and SignWell alternative pages for the side by side, or the full e-signature pricing comparison.
Are PandaDoc and SignWell signatures legally binding?
Yes. Signatures from both are valid under the ESIGN Act and UETA when the signer intends to sign and agrees to do it electronically, and both keep an audit trail of who signed and when. Some documents still need a wet signature or a notary, such as wills and certain court filings, and that is true whichever tool you use.
How to decide in five minutes
Count three things: how many people send, how many of your documents are proposals or quotes rather than contracts, and how many documents you send a month. One sender and mostly contracts points to SignWell Light. A sales team living in proposals points to PandaDoc. Three or more senders and only signing points to a flat plan. Whichever you pick, run one real document through it before you commit a year of billing.
PandaDoc vs SignWell questions, answered
Is SignWell cheaper than PandaDoc?
For a team that mainly sends contracts for signature, usually yes. SignWell Light is $10 a month yearly for one sender and Business is $30 for three. PandaDoc Starter is $19 per user per month yearly, so three senders cost $57 or more. PandaDoc is the better buy when you need proposals and quotes.
Does PandaDoc have a free plan like SignWell?
Both do. SignWell Free is one sender and 3 documents a month. PandaDoc Free is an eSign plan limited to 5 documents a month. Both suit a trial more than a working business, and both stop being free the moment you need more volume or more senders.
Which is better for a small business, PandaDoc or SignWell?
Pick PandaDoc if proposals, quotes and a content library are the job. Pick SignWell if you send contracts, NDAs or forms for signature and want a low sender price. If several people send and you want one flat bill, a flat plan like SignSend Pro at $288 a year for three people is cheaper than either.
Do PandaDoc and SignWell signatures hold up legally?
Both produce signatures valid under the ESIGN Act and UETA when the signer intends to sign and agrees to do it electronically. Each keeps an audit trail. Validity depends on the document and your state, not on the vendor, so the choice should come down to price and workflow.
What to check before you pay either vendor
Three details change the real bill more than the headline price. First, confirm whether the price you see is the yearly rate shown per month, because both vendors lead with it and the monthly rate is higher. Second, count who actually needs to send. At PandaDoc a person who only signs needs nothing, but anyone who creates a document needs a paid seat. At SignWell the same rule applies to senders. Third, read the cancellation and refund terms, because annual plans are usually not refundable once the trial window closes.
If you are already paying one of them and want out, our guides to cancelling a PandaDoc subscription and a SignWell subscription list the steps and the refund rules we found in each vendor's own terms.
