How to Cancel a PandaDoc Subscription and Switch to Cheaper E-Signature Software

Short answer: sign in to PandaDoc, open Settings, go to Billing, and in the subscription plan settings select Cancel subscription. If no Cancel subscription button appears, the billing page shows a prompt at the top to contact your account manager, and that is the only route. Your plan keeps working until the end of the period you have already paid for, and PandaDoc does not refund the unused part.

That last sentence is the one that catches people, so it is worth putting up front. PandaDoc's payment policy says that once a cancellation request is submitted no additional charges are made, and that no refunds, prorated or otherwise, are provided upon cancellation. If you are eleven months into an annual term, cancelling stops the next renewal and returns nothing from this one.

How do I cancel my PandaDoc subscription?

Four steps, all inside the web app rather than a mobile app or an email to support.

  1. Sign in to PandaDoc as the account owner or a user with billing permissions.
  2. Open Settings.
  3. Go to Billing, then into the subscription plan settings.
  4. Select Cancel subscription and confirm.

If step four has no button, that is not a bug. PandaDoc hides self-serve cancellation on accounts that are managed by a rep, and the billing page carries a prompt at the top telling you to contact your account manager instead. Do that in writing and keep the reply, because on a managed account the cancellation date is whatever the thread agrees, not whatever a screen said.

Does PandaDoc refund the rest of my subscription?

No. PandaDoc's payment policy provides no refunds, prorated or otherwise, on cancellation. Monthly plans stop at the next renewal day, which is the same day of the month you originally signed up. Annual plans are paid upfront and renew automatically every year, and cancelling before the renewal date means you are not charged again but you do not get money back for the months you have already bought.

There is a detail in the same policy that is easy to walk past, and it only runs one way. When you add a licensed user in the middle of a term, the fee for that user is prorated against the remainder of the subscription term. When you cancel, proration is explicitly ruled out. The vendor uses the same word for both events and applies it only where it increases the invoice.

The practical consequence is about timing rather than argument. Find your renewal date before you decide anything, because the value of cancelling on the right day can be the whole annual invoice.

When should I cancel to avoid the next charge?

Before the renewal date, with enough margin that a support thread can finish if the button is missing. On a monthly plan the renewal day is your original signup day of the month, so a subscription started on the 28th renews on the 28th. On an annual plan it is the anniversary of the term, and it is charged in advance.

A renewal that lands unannounced is almost always a visibility problem rather than a vendor problem. If nobody in the company can name every recurring software charge and its renewal date, the fix is a running record of subscription spend, categorized alongside the rest of the company's recurring costs, so the anniversary shows up weeks before the invoice does rather than on the statement afterwards.

What happens to my documents when I cancel PandaDoc?

You keep access to the account until the paid period ends, so the window to get your files out is the tail of the term you already own, not the day you click Cancel. Use it. Export completed documents while the account is still active, and export them as finished PDFs rather than trusting that a link will resolve later.

The documents worth the most care are the executed ones: signed contracts, countersigned offers, anything a dispute could turn on. A signed agreement is only as good as your ability to produce it years later with evidence of who signed and when, which means a local copy of the PDF plus whatever completion certificate or audit record the platform attached to it. Do not leave that in a vendor account you are about to stop paying for.

Is there a PandaDoc coupon or discount instead of cancelling?

There is no coupon code. PandaDoc publishes no public promo or discount code, and the offers plastered across coupon aggregators are mostly the annual billing discount with a percentage stuck on it. Starter is $19 per user per month billed annually against $35 billed monthly, and Business is $49 against $65. Before cancelling outright, two levers usually beat any percentage. The first is seat count, because PandaDoc bills per licensed user and most accounts carry people who have not opened it in months. The second is tier: moving from Business to Starter saves $30 per user per month, nearly double what the annual toggle returns. Run both before you decide the product is the problem.

What should I switch to after cancelling PandaDoc?

It depends entirely on which half of PandaDoc you were using. If you build proposals in it, with pricing tables that recalculate, a content library, approval routing and CRM sync, then nothing in the signing category replaces that and you should be shopping among document automation platforms rather than e-signature tools.

If what actually happened each week was: export a finished PDF, send it to two people, collect signatures, file it, then you have been paying a per-seat proposal platform to do a per-account job. That is the common case among people cancelling, and the cost difference is not marginal.

Can I pause PandaDoc instead of cancelling?

PandaDoc does not publish a pause option on its self-serve plans. On a managed account it is worth asking your rep, because a downgrade or a shorter term is sometimes available where a pause is not. On self-serve, the equivalent move is dropping to the cheaper tier or trimming licensed users, both of which take effect without ending the account.

One caution if you are tempted to just delete the account rather than cancel the plan. Cancelling ends the billing and leaves the account reachable until the period closes; deleting removes access, and anything you have not exported goes with it. Cancel first, export everything, and only then decide whether the account itself needs to exist.
