Smartwaiver Pricing: Smartwaiver Cost Per Waiver, Kiosk Plans and Monthly Limits

Smartwaiver costs $19 a month for up to 100 signed waivers, $55 for up to 300, $155 for up to 1,000 and $199 for up to 2,500. Bought a year at a time those become $194, $561, $1,581 and $2,030. The cost per waiver column only applies if you use the whole allowance. Collect 40 waivers on the $19 plan and each one cost you 48 cents, which is more than twice the headline rate. That is the ordinary arithmetic of a banded price sheet, and it is the reason the plan you pick should follow your peak month rather than your hopes for it.

Smartwaiver disables your Waiver Console until you upgrade. It does not bill you for the extra waivers. In its own help center wording, once the monthly limit is exceeded "an additional email is sent notifying the administrator that the Waiver Console will be disabled until the service plan is upgraded", and with excessive use over the allowance "your waiver templates may be disabled as well". You get a warning email at 75 percent of the allowance, then daily until you upgrade or the cycle resets.

Read that carefully, because it is the single most important thing on this page. Being locked out of the console does not stop customers signing. Smartwaiver says plainly that "your customers will be able to sign your waiver while the Waiver Console is disabled", and that the waivers reappear once you upgrade. What stops is your access to the archive. If your insurer, a claims adjuster or your own lawyer asks you to produce a signed waiver on the busiest weekend of your year, that is the weekend you cannot open it.

The fair counterweight: Smartwaiver makes moving up cheap and reversible. It credits the unused days on your current plan every time you change, and its help center actively suggests upgrading for a busy stretch and dropping back a few days later. The lockout is avoidable. It is just avoidable by paying attention, and a front desk on a bank holiday is not a place where anyone is paying attention to a billing email.

No. Smartwaiver states "we do not charge per waiver" and asks you to move to a larger plan instead. That sounds friendlier than metered billing, and at low volumes it is. At the band edges it is the opposite, because the price of one extra waiver is the price of a whole tier.

Notice the ordering, because it is genuinely inverted. Going from 300 waivers to 1,000 buys you 700 more and costs $100 a month. Going from 1,000 to 2,500 buys you 1,500 more, more than twice as many, and costs $44. The most expensive step on the sheet is not the biggest one, it is the one in the middle, and it is the step a growing gym or park hits first.

Nothing extra. Kiosk mode is part of the service plan, so a Smartwaiver kiosk costs whatever your waiver band costs, from $19 a month upward. Smartwaiver's iOS and Android apps run the kiosk and the hardware is yours to buy: an iPad or Android tablet, a stand, and something to charge it. There is no per-device or per-kiosk fee on the published plans.

That matters when you compare waiver software, because the other common pricing model in this category counts devices. WaiverForever, for instance, meters what it calls offline devices, one per tablet running its client app, and its $19 entry plan allows a single one. Smartwaiver does not count them at all. If you run four check-in tablets across two locations, that difference is worth more than the headline price.

The one thing a kiosk does not change is the meter. A waiver signed on your own iPad at your own front desk counts against your monthly allowance exactly like one signed at home, so buying more tablets does not buy more waivers.

Smartwaiver's event pricing page lists $100 for up to 300 signed waivers, $250 for up to 1,000 and $500 for up to 5,000, each valid for 14 days, with anything above 5,000 quoted by its sales team. Those are the FAN, ROOKIE and ALL STAR tiers. This page was last archived in January 2026, and the current pricing page now routes event buyers to checkout instead, so confirm the figure before you pay.

The one-time plan is the most expensive way to buy the same waivers. Three hundred signed waivers cost $100 on the event plan and $55 on the monthly plan, so you pay 82 percent more for half the window. A thousand cost $250 against $155, 61 percent more. The event plan buys you one real thing in exchange: it does not renew, so nobody has to remember to cancel it.

There is a second condition that matters far more than the money. Smartwaiver's help center says an event account goes inactive 14 days after purchase and that "once the account is deactivated, the account will be deleted within 30 days, which includes all waiver templates and signed waivers". Export is available and you should use it. A liability waiver exists to be produced years later, when someone files a claim, and personal injury limitation periods in US states run for years rather than weeks. A waiver deleted 44 days after your festival is a waiver you paid for and cannot use in the only situation you bought it for.

The discount is real. Smartwaiver's toggle prints "Save 15%" and the arithmetic holds on all four tiers, which is worth saying out loud because plenty of software badges do not survive that check. Whether it is worth taking depends entirely on whether your venue runs twelve months a year.

For a year-round operation, a gym or a climbing wall that opens every week, taking the year is straightforwardly correct. For a seasonal one it is the wrong purchase, and the size of the mistake is larger than the discount. The next section works it out.

Pay monthly during the season and switch to the $7 storage plan when you close. For a venue with a four-month season on the Business band, that is $676 a year against $1,581 for the same plan bought up front, a difference of $905. Against twelve monthly payments it saves $1,184.

Read the first and third rows together and the 15 percent discount turns into something else. For a four-month operator, buying the year costs 134 percent more than paying monthly and parking the account, because the year price removes your ability to park it. Most water parks, haunted attractions, ski hills, rafting outfitters and summer camps in the US are exactly this shape, and this is the single largest saving available on Smartwaiver's price sheet. It is also the one the price sheet does not show you, because the storage plan sits in a note underneath the cards rather than in the grid.

These two vendors have the same entry price and meter the opposite thing. Smartwaiver charges $19 for up to 100 waivers a month and does not count your forms, tablets or staff logins. The cheaper vendor changes three times down that column, which is why a straight recommendation is worthless without your volume. The sharpest illustration sits at one waiver. At number 301 in a month, Smartwaiver moves you from $55 to $155, so that waiver costs $100. WaiverForever Standard moves from $64.00 to $64.08, so the same waiver costs eight cents. Neither is cheating; one sells bands and the other sells a meter. It just means the question "which is cheaper" has no answer until you know which side of a band edge you live on. Smartwaiver is worth its price for any venue whose waivers get signed at the door. Its plans include tablet kiosk mode, offline collection for when the wifi drops in a warehouse or a canyon, driver's license ID scanning, automatic photo capture, QR code signing and unlimited waiver forms on every tier, plus its own API and integrations. Buying that stack from anyone else costs more than $19 a month, and Smartwaiver does not meter devices or seats on top.

The weak spots are all about the meter rather than the product. The caps are monthly with no rollover, the gap between 300 and 1,000 waivers has nothing in it, the penalty for crossing a cap is a lockout rather than a fee, and the one-time event plan deletes your records 30 days after it ends. None of those show up in a features table, which is why so many reviews of Smartwaiver end up describing a different product than the one you will actually operate.

Who should buy it: climbing gyms, trampoline parks, axe throwing venues, rafting outfitters, escape rooms and anywhere a queue forms at a counter. Who should look harder: a studio that emails a waiver ahead of the first class, a business that also needs contracts, invoices and rental agreements signed, and any operator whose volume sits just under a band edge.

If your waivers arrive by link rather than at a counter, the whole banded model stops earning its keep. Sending a PDF waiver for signature from a $12 a month account with no monthly document count is a different purchase to renting a front-desk kiosk system, and for a yoga studio, a personal trainer, a small rental business or a mobile instructor it is usually the right one.
