Which is cheaper, Smartwaiver or WaiverForever?

Neither, consistently. The cheaper vendor changes three times as volume rises, which is why every roundup that names a single winner is guessing. Below is the monthly bill at each volume, worked from both vendors' published rates.

The widest gap sits at 500 waivers a month, where Smartwaiver charges $155 and WaiverForever charges $60 on its entry plan. That is not because one vendor is greedy. It is because Smartwaiver has no band between 300 and 1,000, so an operator signing 500 waivers pays for 1,000 of them.

How does WaiverForever pricing work?

WaiverForever charges a monthly base fee for the plan and a separate usage fee for the waivers. The first 50 submissions each month are included on every tier, and after that the unit price falls in steps as you use more.

Three base plans sit under that meter. What separates them is not waivers at all, it is how much of your operation you are allowed to plug in.

How does Smartwaiver pricing work?

Smartwaiver charges one flat price per month for a band of signed waivers, and nothing else is counted. Forms, tablets, kiosks and staff logins are all unmetered on every tier.

What does the 301st waiver cost at each vendor?

One hundred dollars at Smartwaiver and eight cents at WaiverForever. That is the clearest way to see what the two pricing models actually do to you. Smartwaiver's Starter plan stops at 300 signed waivers and the next published plan is Business at $155, so the waiver that crosses the line moves your monthly bill by $100. WaiverForever Standard goes from $64.00 to $64.08 for the same waiver.

Look at the Smartwaiver column on its own and the order is inverted. Going from 300 waivers to 1,000 buys 700 more and costs $100 a month. Going from 1,000 to 2,500 buys 1,500 more, over twice as many, and costs $44. The most expensive step on the sheet is the middle one, and it is the step a growing gym or park runs into first.

What each $19 plan actually gives you

This is the comparison that decides most purchases, and it is not about waivers. Both vendors ask $19. One of them frees your operation and caps your volume, the other frees your volume and caps your operation.

Run two check-in tablets and $19 stops being a WaiverForever price. Sign 400 waivers in August and $19 stops being a Smartwaiver price. A single-tablet studio doing 90 waivers a month is the one business for which both plans are genuinely $19, and even then the two bills diverge the moment either number moves.

What happens when you go over the limit at each vendor?

WaiverForever bills you and carries on, because there is no limit to cross, only a meter. Smartwaiver disables your Waiver Console until you upgrade. In Smartwaiver's own help center wording, once the monthly limit is exceeded the console "will be disabled until the service plan is upgraded", and with heavy use past the allowance "your waiver templates may be disabled as well". You get a warning at 75 percent of your allowance and daily after that.

The nuance is important and it cuts both ways. Customers can still sign while your console is off; what you lose is access to the archive, which matters exactly when someone asks you to produce a signed waiver. On the other side, Smartwaiver credits the unused days on your plan every time you change tier and explicitly suggests upgrading for a busy stretch and dropping back afterwards, so nobody is trapped on the bigger plan. The lockout is avoidable. It is just avoidable by watching a billing email on the busiest weekend of your year.

Which one should you buy?

Buy Smartwaiver if your waivers are captured at a counter across several tablets and your monthly count sits comfortably inside a band. Unmetered forms, unmetered devices and unmetered staff at $19 is a genuinely good deal for a multi-tablet front desk, and Smartwaiver's kiosk, offline collection and ID scanning are the reason it is the name most US venues reach for.

Buy WaiverForever if your volume swings, if you sit awkwardly between Smartwaiver's bands, or if you would rather pay ten cents than move a tier. At 400 to 900 waivers a month the metered model is dramatically cheaper, and the difference is large enough to fund the rest of your compliance stack. Most insurers want two things on file from a venue like yours: a signed waiver for every participant, and a record that the staff supervising the equipment were trained and certified on it, which is a separate system worth setting up properly with software that tracks staff training and certification rather than a spreadsheet.

Buy neither if the waiver never gets signed on your premises. A studio that emails a waiver with the booking confirmation, a mobile instructor, a small rental business or a coach running sessions in a park is paying for a kiosk product that stays closed.
